Disclaimer

This report fulfills a request filed by the Data Subject &SURNAME&, &NAME& to access records that were collected and processed on their behalf, with regard to &PRODUCTNAME&. &PRODUCTNAME& collects various information from other systems in order to provide functionality for enterprise print management. This report discloses all such details that may be considered personal data under the European Union's General Data Protection Regulation. While some of this information collected may be expected, the Data Subject may have printed documents that accidentally disclose sensitive information about them.

The collected information is split into seven different sections. Basic User Details contains basic attributes about the data subject, including their network login ID, given and family name, email address, and aliases. Authentication and Access History contains the list of times a user authenticated to a multifunction printer, network printer, or 3D printer monitored by &PRODUCTNAME&; to protect company proprietary data, only the id of the printer is included. Recent Print Jobs contains the audit record of print, copy, scan, and fax jobs that the Data Subject submitted; the estimated number of pages may not match the actual number of pages printed, but is included for completeness. Similarly, Recently Accounted Jobs contains the actual accounting information for recently submitted jobs; multiple rows for a single print job may be displayed here, either because the Data Subject reprinted a job, or there were multiple accounting types associated with the same print job. As an example, a print job may contain both black-and-white and color pages.

&PRODUCTNAME& also maintains a separate database called the data warehouse. The purpose of this database are for long-term statistics, and to provide an interface to allow customers to develop their own custom reports through popular third-party applications. Cumulative Job Statistics and Full Job Statistics for Recent Jobs aggregate statistics for built-in web reporting. For third-party applications, an administrator or reporting specialist will instead reference the Enterprise Reporting API, known as the DataMart. The table in Details Collected From the DataMart is formatted to show any records that are both confirmed to contain personal information, as well as additional fields that may or may not contain personal information.

Not all fields will contain particularly useful information. Fields may be marked as unknown, (empty), or similar values when the column doesn't correspond to the associated job type. As an example, print and copy jobs will not contain a fax recipient, and two-sided printing doesn't make sense with 3D Print jobs.
